Wedding Day Timeline: The Complete Step-By-Step Schedule (With Real Examples)

lets create your timeline

Planning your wedding is one of the most exciting journeys of your life. Between choosing the perfect venue, tasting cakes, and finding your dream dress, it’s easy to overlook one of the most important parts of the entire day: your wedding day timeline.

A well-planned wedding timeline is the difference between a relaxed, magical day and a rushed, stressful one. As a professional wedding photography and video team at Valentine & Co, we’ve seen firsthand how a great timeline keeps the day flowing smoothly — and how a bad one creates chaos.

This guide will walk you through a real, proven wedding day timeline that we use with our couples all the time.

Why Your Wedding Day Timeline Matters More Than You Think-

Your timeline isn’t just a schedule. It’s the backbone of your entire wedding day.

A good wedding timeline:

Keeps you calm and on track

Gives you enough time for photos without rushing

Makes sure vendors are perfectly coordinated

Prevents delays from snowballing into stress

Lets you actually enjoy your wedding day

And most importantly — it protects the moments you’ll remember forever.

When Should You Start Planning Your Wedding Timeline?

Start building your wedding day timeline as soon as you book your :

Venue

Photographer & videographer

DJ or band

Hair & makeup team

You can begin locking in a realistic, stress-free schedule.

Always Build Your Timeline With Your Vendors

Your vendors — especially your photographer, videographer, DJ, and venue coordinator — play a huge role in your timeline.

At Valentine Co, we custom-build timelines for every couple because:

Every venue is different

Every wedding party size is different

Every couple’s priorities are different

And yes — buffer time is critical. Something will run late. Always.

Step-By-Step Wedding Day Timeline Breakdown

Below is a real-world example of a wedding day timeline for a 4:00 PM ceremony.

Getting Ready: Hair, Makeup & Details

Start time: 9:00–10:00 AM

Your day starts early — and that’s a good thing.

Plan:

6–8 hours before the ceremony for hair & makeup

Extra buffer time for unexpected delays, hate to say there is going to be a few

Time for laughs, mimosas, and enjoying the morning

When Should Your Photographer Arrive?

11:00 AM – 12:00 PM

We usually recommend your photographer and videographer arrive:

30–45 minutes before prep ends

To capture:

Getting ready moments

Detail shots (dress, shoes, rings, invitations)

Posed photos with your wedding party and family

Trust me, you don't want us to capture as soon as you start, you don't want photos with one side of your face done.

First Look & Pre-Ceremony Photos

Start time: Around 1:00–2:00 PM

If you’re doing a first look, we highly recommend it.

For a 4 PM ceremony:

Start first look around 1 PM

This gives you:

Time for couple portraits

Wedding party photos

Family photos

And way less stress later

By 3:15-3:20 PM, you should be hidden away so guests don’t see you before the ceremony.

The Wedding Ceremony

Ceremony time: 4:00 PM

Plan:

Guests arrive around 3:30 PM

Ceremony length: ~30 minutes (give or take)

If ceremony and reception are at different locations, add travel time

Cocktail Hour & Family Photos

Cocktail Hour: 4:45–5:45 PM

While guests enjoy drinks and appetizers, this is photo time.

We recommend:

First 30 minutes: family + wedding party photos

Remaining 20–30 minutes: just the two of you

Eat. Breathe. Soak it in.

The Reception Timeline

Guest Entrance: 6:00 PM Wedding Party Entrances: 6:20–6:30 PM

This is where the vibe shifts from structured to fun.

Typical flow:

Grand entrances

First dance

Speeches (usually before dinner)

Dinner service

Open dancing

Cake cutting: Around 8:00 PM

After that? The rest of the night is yours.

Party Time

Assign Someone to Watch the Clock

Once your timeline is set, delegate.

Have:

A coordinator

A trusted family member

Or party member

Keep things moving so you don’t accidentally spend 45 minutes talking to Aunt Margaret and miss sunset photos.

Embrace the Unexpected

Even the best wedding timelines aren’t perfect.

A flower girl might melt down. Someone might forget their speech. Something will run 10 minutes late.

That’s okay.

Your timeline is a loose guide, not a prison.
